FixUpList (a product of Pali Ventures, Inc.) collects only what is needed to provide the service: your account email and the lists, items, notes, and files you create. We never sell your data and never share it for advertising.
What we store
- Your account email and Google profile basics from sign-in.
- Your lists, items, comments, and uploaded photos and files.
- When you submit feedback, we may collect technical information such as IP address, browser/device information, and timestamps to prevent spam, troubleshoot issues, protect the service, and improve FixUpList. Raw IP addresses are retained for up to 60 days, after which only a salted, irreversible hash is kept for long-term abuse prevention. Admins do not see raw IPs in the normal review interface; viewing a raw IP is logged.
- Audit events for admin actions.
How we access and use your content
To provide, maintain, secure, support, and improve FixUpList and its features — including AI-powered features — authorized FixUpList personnel and the service providers we work with may access and process the content you store, including your photos, files, items, and notes. We use your content only to operate and improve the service; we never sell it and never use it for advertising.
AI features and third-party processing
Some FixUpList features — including tools that analyze the photos and details on an item to surface useful information — rely on third-party service providers to process your content and return results. When such a feature is used, the relevant content (such as an item's photos, title, and notes) may be sent to those providers to deliver, operate, and improve the feature. We store any results on your item, and you can delete them.
More broadly, we use third-party service providers to host, store, process, and help us deliver FixUpList. These providers process your content on our behalf; we do not sell your content and do not share it for advertising.
Analytics
We use a product-analytics service to understand how FixUpList is used — which pages are visited, which features get used, and where flows break — so we can improve the product. This is product-usage data, not advertising data.
- We do not use it to build advertising profiles, and we do not sell your data.
- Session and screen recording are off.
- Event data is designed to exclude your content — no item titles, notes, message bodies, filenames, or email addresses.
- Share, invite, and verification links contain access tokens; we scrub those tokens out of recorded URLs before any event is sent.
What we do not do
- We do not sell user data.
- We do not share your data for advertising.
- We do not run advertising trackers, and we do not build advertising or cross-site profiles about you.
Retention and account closure
Your content is kept until you delete it or close your account. Closing your account starts a 30-day grace window: the account is deactivated immediately, you can restore it during the window (sign back in, or use the link in the confirmation email), and after the window your account and everything you own — projects, items, photos, files, and history — is permanently deleted.
After deletion we keep one minimal closure record: your name, email address, the date the account closed, and the account's size (counts only — never your projects, items, or photos). We keep it for fraud-prevention and audit purposes. Feedback technical data follows the schedule above (raw IP up to 60 days, then only a salted hash), and email logs are pruned on a rolling schedule.

How uploads work on your device
When you capture a photo or file in FixUpList, the app may briefly store it on your device's browser storage so the upload can continue in the background while you keep working. This local copy is what makes the app feel fast and reliably hold onto your evidence even on spotty wifi.
- Where it lives: in your browser's private storage (IndexedDB), scoped to FixUpList only. Other websites cannot read it.
- How long: until the upload succeeds, or up to 7 days if the upload keeps failing (48 hours if it failed for a permanent reason like the file being too large). After that it's automatically cleared.
- Sign out: signing out clears any unsent uploads on that device. A different person signing in on the same browser will never see your queued uploads — we wipe the queue when the signed-in account changes.
- Why we do this: it's strictly necessary to deliver the capture-and-upload feature you started. We do not use it for tracking, analytics, or any purpose beyond completing your upload.
This applies to FixUpList's web app on your phone, tablet, or computer. Once an upload completes, the local copy is removed from your device and the photo or file is stored on FixUpList's encrypted cloud storage like any other upload.
Voice capture
FixUpList offers a push-to-record voice capture feature on the Capture surface. Voice capture is always opt-in — your microphone is only accessed when you tap and hold the microphone button on the Capture form. There is no always-on listening, no background recording, and no meeting-recorder mode.
- Free tier: voice capture uses your browser's built-in speech recognition (the Web Speech API). Audio is processed by your browser or operating system; it does not leave your device through FixUpList's servers. Note that some browsers (notably Chrome) may route Web Speech audio to their own provider — that is outside FixUpList's control and is governed by your browser vendor's privacy policy.
- Premium and Turbo tiers: voice capture briefly uploads the audio you just recorded to a third-party transcription provider. The audio is sent only after you finish recording, used only to produce a text transcript, and deleted from FixUpList's servers immediately after the transcript is returned. We do not retain the audio file.
- What we keep: only the text transcript you choose to save into the item title or notes field. You review the transcript before saving; nothing is auto-applied.
- Hard caps: maximum single recording length is 30 seconds (Free), 60 seconds (Premium), or 120 seconds (Turbo). Monthly cloud-transcription minutes are capped at 0 (Free), 30 (Premium), or 300 (Turbo). Quotas reset on the first of each month.
Voice capture cannot be used to assign tasks, change statuses, or otherwise act on items. The transcript is text only; no automated action is taken on what you say.
